Electronic Signature Consent
Effective Date: June 2, 2026
Last Updated: June 2, 2026
Ovation Entertainment Solutions, LLC ("Company," "we," "us," or "our") operates Ovation OS, a software-as-a-service platform for event production and equipment rental management. Ovation OS includes an electronic signature and electronic record feature called OvationSign. This Electronic Signature Consent (the "Consent") explains how electronic records and electronic signatures are used and your rights regarding them.
By using the electronic signature and electronic record features of Ovation OS (OvationSign), you consent to use electronic records and electronic signatures, and you agree that they are legally binding under the federal Electronic Signatures in Global and National Commerce Act (the "ESIGN Act") and any applicable state Uniform Electronic Transactions Act ("UETA"). If you do not agree, you should not sign electronically and should review the section below on declining or withdrawing consent.
1. Scope of Consent
This Consent applies to documents, disclosures, agreements, and records that may be provided to you and signed by you electronically through Ovation OS. This may include, without limitation:
- Contracts and agreements
- Disclosures and notices
- Quotes, invoices, and other transaction documents
- Authorizations, acknowledgments, and other records that require a signature
Your consent allows these documents and records to be presented, signed, and delivered electronically rather than on paper.
2. System Requirements
To access, view, sign, and retain electronic records through OvationSign, you will need:
- A current web browser
- Internet access
- A valid email address
- The ability to view, download, and retain PDF documents
- A device capable of the above
By proceeding, you confirm that you have the hardware and software described above and that you are able to access and retain electronic records.
3. Legal Effect of Electronic Signatures and Records
Your electronic signature has the same legal effect as a handwritten signature. An electronic record satisfies any legal requirement that the record be in writing. By signing electronically, you intend to be bound by the contents of the document to the same extent as if you had signed it on paper.
4. Signature Evidence
To evidence a signature, we may record and associate the following information with the signed document:
- The signer's name
- The signer's email address
- The date and time of the signature
- The signer's IP address
This information helps establish the authenticity and integrity of the signed record and the identity of the signer.
5. Declining or Withdrawing Consent
You may decline or withdraw your consent to use electronic records and electronic signatures. To do so, you may:
- Decline to sign the document electronically and not complete the electronic signing process
- Contact the party that sent you the document to request an alternative
- Contact us at support@ovation-os.com
Declining or withdrawing consent may prevent you from completing certain transactions electronically, and the sending party may require an alternative method to complete the transaction.
6. Requesting Paper Copies
You may request a paper copy of a record you have signed electronically. To request a paper copy, contact the party that sent you the document or contact us at support@ovation-os.com. Fees may apply for providing paper copies where permitted by applicable law.
7. Keeping Your Contact Information Current
You are responsible for keeping your email address current with the party that sent you the document so that you continue to receive electronic records and related communications. If your email address changes, you should promptly notify the sending party.
8. Retention of Signed Records
Signed records are retained and made available to the parties through the platform. We encourage you to download and retain a copy of any document you sign for your own records.
9. Changes to This Consent
We may update this Consent from time to time. If we make material changes, we will notify you by:
- Posting a notice on our website
- Sending an email to account holders
- Displaying an in-app notification
Your continued use of the electronic signature and electronic record features after the effective date of changes constitutes acceptance of the updated Consent.
